Call for Nominations – Board Committees

The Board of Directors is seeking nominations from the populace for individuals to serve as members of the following Board Committees:

Finance and Audit Committee
Mission:  To assist the Board’s oversight of the Company’s accounting and financial reporting processes, the audit and integrity of the Company’s financial statements and the qualifications and independence of the Company’s independent auditor. (more…)

Position Opening – Society Corporate Treasurer

The Board of Directors is accepting applications for the position of Corporate Treasurer. This is a part-time, stipend position, which requires approximately 5-10 hours per week except when finalizing the yearly budget.

Applicants must be available for at least the October quarterly Board Discussion Session (typically held on Friday), in addition to the October Board meeting (typically on Saturday). Additional traveling may be required. (more…)

Board Committee Structure To Replace Grand Council

At its August 22, 2016 meeting the Board of Directors approved the development and implementation of an expanded Board committee structure to encourage and facilitate transparency, participation in and understanding of Society governance throughout the membership of the Society.

The Board shall establish Board committees to serve at the pleasure of the Board. Each of these committees will include representatives of the membership-at-large of the Society, to be nominated by the Kingdoms. From the Society Seneschal – Contracts, Insurance, Equestrian Issues

From the Society Seneschal to all Group Seneschals, Event Stewards/Autocrats, and Equestrian Officers:

This is a formal communication from the Vice President of Operations, SCA Inc. (Society Seneschal) and must be implemented immediately.

1. In terms of contracts, only seneschals should be signing contracts for events or services. If the seneschal chooses to designate the autocrat/steward (i.e. a deputy seneschal) as the signatory to a contract, that contract must first be completely read and reviewed by the ranking seneschal before the ranking seneschal gives authority IN WRITING to the designated deputy (autocrat/steward). As such, the Kingdom Seneschal must review all contracts for Kingdom events, Principality Seneschal for Principality events or Baronial Seneschals for Baronial events; in terms of all other local events, the local group seneschal must review the contract for the event prior to granting the autocrat/steward the authority to sign the contract and this must be in writing. In the event the seneschal wishes to designate a deputy (autocrat/steward) to sign the contract, that signatory must be an actual and recognized/authorized deputy Seneschal with a valid membership (i.e. autocrat/steward) and said contract must be first reviewed by the ranking Seneschal (Kingdom Seneschal, Principality Seneschal, Baronial Seneschal et al.). From the Society Exchequer Regarding Non-Member Surcharge

The Non Member Surcharge of $5.00 (five dollars) shall be collected at every Society, Kingdom or Local group event where:

  1. The event is advertised in either the Kingdom Newsletter or the Kingdom website and/or a local newsletter or local web site
  2. Where it is anticipated that the SCA’s insurance will be covering the Kingdom or local group and its officers/agents 
  3. Where a site fee (or suggested donation) is being charged for admittance.  

Any participant who attends such an event who does not possess a valid membership card must be charged a $5.00 (five dollars) Non Member Surcharge (NMS) in addition to the site fee or suggested donation amount and that NMS shall be collected and submitted to the Kingdom Exchequer or their assigned deputy within 10 business days. The Kingdom Exchequer is responsible for submitting the NMS for both Kingdom and local group events by the end of the following month. 

Limited exceptions to the NMS rule:

  1. Demonstrations– if the Kingdom or local group is hosting a demo at a school, a Renaissance Faire or some other gathering run by another organization (either for-profit or non-profit), the collection of NMS is not necessary; however, if the Kingdom or local group is either hosting or co-hosting the event and charging either a site fee or suggesting a donation, NMS shall be collected.
  2. Regular Occurring Meetings: No NMS need be collected at a weekly, monthly, quarterly or semi-annual re-occurring event, i.e. not at an officers meeting, a local group fighter practice, or regularly scheduled local arts & science meetings. If there is an officers meeting (or any other meeting or practice) at a published event charging a site fee or a suggested donation, this meeting/practice (as part of another event) does not negate the need to collect NMS.

Application Deadline Extension – President, SCA Inc.

Leslie Vaughn, President of the Society for Creative Anachronism, Inc., has announced that the SCA Board of Directors is continuing to accept applications for the position of President of the SCA Inc. until March 31st, 2016. All applications received will be evaluated after March 31st, 2016.

The Board of Directors of the Society for Creative Anachronism, Inc. is currently accepting applications for the position of President of the SCA Inc. This is a position requiring approximately 10-20 hours per week and includes a stipend.

Report from the Fall Board of Directors Meeting

Mistress Arianna of Wynthrope reports on the SCA Board meeting held in the Debatable Lands on Oct. 24. This is an unofficial report; for the official report, see the Board meeting minutes that will be published at a later date on the SCA Newsletters site.

A quarterly meeting of the SCA’s Board of Directors is much like any other business meeting. The participants wear modern business clothing (some were in suits), they sit at a U-shaped table with the audience forming the fourth side of the square, and they operate under Robert’s Rules of Order with motions proposed, seconded, and approved with a rap of the chairman’s gavel.

Even the topics discussed might not seem out of place in a modern board room: finances, publications, approval of meeting minutes, and changes in procedure took up much of the day. Coffee and tea were served.

Of course, the big difference is that the topics all pertained to the SCA.bod-meeting-small

Call for Applicants – Tournaments Illuminated Art Director

The Society for Creative Anachronism (SCA) is seeking candidates for the position of Tournaments Illuminated Art Director. The current officer steps down in July, 2016, and in order to ensure a smooth transition, applications for the positions are now being accepted.

Tournaments Illuminated (TI) is the Society’s quarterly magazine that furthers research, education and ‘living history’ recreation in the field of pre-seventeenth century Western culture, with additional features unique to the SCA: humor, kingdom news, medieval travel destinations, museums of interest, and more.
