Exchequer’s Letter for November, AS LI

Greetings all…exchequersm

I appreciate all that everyone does to help keep your local groups, regions, and the Kingdom running smoothly. By following the policies and procedures that have been set out by my predecessors, as well as continuing to update and refine them, I hope to make everyone’s job easier. So over the next year, I will be soliciting ideas and opinions from you. I will create an online response form so that I can more easily collect and collate the data (so please don’t start sending me stuff yet). (more…)

Official Missive from the Kingdom Exchequer

Greetings to all,

Thank you all for all of your hard work on behalf of your group and your kingdom. Each exchequer plays a vital role in keeping the modern side of our world running smoothly.

Just a few reminders –

Non-Member Registration (NMR) Reports and Remittances

Based on input from the current NMR deputy and a look at our process for collecting the NMR reports and remittances, we will be eliminating the “middle man.”

From now on, please send all NMR reports and remittance checks directly to me at the address on the Midrealm Exchequer page. This will allow me to collect the reports and complete my own report to Society in a timely manner.

We are almost completely caught up on our NMR reporting; however, I must reinforce the reporting schedule. NMR reports and remittances should be sent within 10 days of the end of the event. (more…)

WOW! It’s April already.

Ok, now to business….

1) New stuff from the Kingdom Exchequer/Seneschal Symposium

a. Changes for Event fee wording – It’s now time to use the new wording. Please inform your event stewards and make changes to your Event web pages. We are no longer using NMS (non-member) surcharge wording. Please use the following terms from now on:

  1. Registration (site fee + $5 (NMS))
  2. Member Registration (adult member site fee)
  3. No changes for minor or feast wording.

From the Middle Kingdom Exchequer’s Desk: NMS Fees

Recently the Board of Directors discussed when NMS (non-member surcharge) fees are to be collected. We, the Kingdom Exchequers, have been asking questions about this interpretation, and we believe that we have an understandable document.

The Non Member Surcharge of $5.00 (five dollars) shall be collected at every Society, Kingdom or Local group event where:
1. The event is advertised in either the Kingdom Newsletter or the Kingdom website and/or a local newsletter or local web site
2. Where it is anticipated that the SCA’s insurance will be covering the Kingdom or local group and its officers/agents
3. Where a site fee (or suggested donation) is being charged for admittance.
Any participant who attends such an event who does not possess a valid membership card must be charged a $5.00 (five dollars) Non Member Surcharge (NMS) in addition to the site fee or suggested donation amount and that NMS shall be collected and submitted to the Kingdom Exchequer or their assigned deputy within 10 business days.  The Kingdom Exchequer is responsible for submitting the NMS for both Kingdom and local group events by the end of the following month.

From the Society Exchequer Regarding Non-Member Surcharge

The Non Member Surcharge of $5.00 (five dollars) shall be collected at every Society, Kingdom or Local group event where:

  1. The event is advertised in either the Kingdom Newsletter or the Kingdom website and/or a local newsletter or local web site
  2. Where it is anticipated that the SCA’s insurance will be covering the Kingdom or local group and its officers/agents 
  3. Where a site fee (or suggested donation) is being charged for admittance.  

Any participant who attends such an event who does not possess a valid membership card must be charged a $5.00 (five dollars) Non Member Surcharge (NMS) in addition to the site fee or suggested donation amount and that NMS shall be collected and submitted to the Kingdom Exchequer or their assigned deputy within 10 business days. The Kingdom Exchequer is responsible for submitting the NMS for both Kingdom and local group events by the end of the following month. 

Limited exceptions to the NMS rule:

  1. Demonstrations– if the Kingdom or local group is hosting a demo at a school, a Renaissance Faire or some other gathering run by another organization (either for-profit or non-profit), the collection of NMS is not necessary; however, if the Kingdom or local group is either hosting or co-hosting the event and charging either a site fee or suggesting a donation, NMS shall be collected.
  2. Regular Occurring Meetings: No NMS need be collected at a weekly, monthly, quarterly or semi-annual re-occurring event, i.e. not at an officers meeting, a local group fighter practice, or regularly scheduled local arts & science meetings. If there is an officers meeting (or any other meeting or practice) at a published event charging a site fee or a suggested donation, this meeting/practice (as part of another event) does not negate the need to collect NMS.

Exchequers Update for Doomsday

Greetings, Exchequers!

Soon it will be December, and you all know what that means! IT’S DOOMSDAY TIME! YEA!

As I write this missive, I have not yet received the starting numbers for 2015. They should be arriving shortly. Once they arrive I will have them sent to your Regionals and they will be sending them on to you. In the meantime, I suggest that, if you are doing the sequential report, to combine your Q1, Q2, and Q3 reports into your Doomsday report. This way you’ll only need to add Q4 to it. Those of you doing the cumulative (YTD) report, you are already ¾ of the way done. (more…)

From the Kingdom Exchecquer – Concerning Non-Member Surcharges

exchequersmJust in from the Kingdom Exchequer: If your group gives an event where you DO NOT charge a site fee, but you listed the event on the Calendar so it was/is an official event, you still need to file an NMS report showing attendance numbers for non-members along with ZERO site fee & ZERO non-member surcharge collected. This report will be submitted to the NMS deputy as usual. (more…)
